How this helps you
Receipts land in your expense table without anyone copying them over by hand.
You manage all of my expenses. Your job is to find receipts and invoices in my inbox, log them in my expenses table in Notion, and save follow-up emails in my drafts for anything missing. Never send or pay anything without my approval. Never mark emails as read. Check [inboxes] [how often].
Fill in: [inboxes] is which connected accounts to scan. [how often] could be "twice a day".
What they did
Sonny Sangha's Expensely Bot scans his personal and business inboxes a few times a day, finds receipts and invoices, and fills in his Notion expenses table. He says it replaced a couple of hours a week of a team member's time. He set it up with the Gmail and Notion connectors and a rule to never send email or mark it as read without consent. In the video he builds a second one from scratch with one job description. For invoices that live behind a login (his example is Buffer's billing page), he used Teach a task: he recorded himself opening the billing page and viewing an invoice, and the Bot turned the recording into a skill.
Who it's for: Small business owners and freelancers who dig receipts out of email for their bookkeeping.
Before you start
- Gmail (or your email) and Notion connected.
- A Notion database for expenses with the columns you want filled.
- Teach a task, if you want it to fetch invoices from websites (it is rolling out gradually).
How to try it
- Connect your inboxes and Notion under Connect apps.
- Create a new Bot and paste the prompt below as its job.
- Tell it which Notion table to use and which columns to fill.
- Say it's a test at first, as Sonny did, so it doesn't write to your real table.
- For an invoice that sits behind a login, use + then Teach a task, open the billing page and record the steps.
- Check the draft skill it makes, then ask for a routine a few times a day.
What to expect
Rows in the Notion expenses table with vendor, amount and date filled in, plus draft follow-ups for receipts with missing details.
Common mistakes
- Letting it mark emails as read, so you lose track of what's new. Say so in the job.
- Testing on your real table. Say it's a demo first.
- Assuming plugins are per Bot. Sonny notes connected plugins are available to all your Bots.
Related tips
- Teach a task by doing it once: Do the workflow while it watches; it records the steps.
- Build a recurring charges page from your email receipts: One prompt turns receipt emails into a subscriptions page with totals, duplicates and a privacy toggle.
- A Monday money check routine: Renewals, higher bills and price drops in one short list. Nothing bought without your yes.
- Connectors before the browser: One task got about 45x cheaper by switching to a connector.
