A trip planner that builds around bookings already in your inbox

Beginner, 15 minutes

Your travel Bot finds the flights and hotel you booked in Gmail and Drive, plans activities and meals around them, saves a day-by-day itinerary and adds key plans to your calendar.

How this helps you

You get a full itinerary and calendar built around what you've already booked, with nothing paid for unless you say yes.

✦ Try it
I've already booked flights and accommodation for my trip to [destination] on [dates]. Find the booking details in my Gmail and Drive, then plan the rest around them: activities, restaurants and whether I need a rental car. Keep it [relaxed] and within [budget per person]. Save a day-by-day itinerary to Google Drive and add the important plans to my calendar. If anything needs booking or paying, stop and confirm with me first.

Fill in: [destination] and [dates]: your trip. [relaxed]: the pace you like. [budget per person]: your limit for activities.

What they did

Sanchita of The Tech Girl made a travel agent Bot and connected Gmail, Google Drive and Google Calendar. She had already booked flights and hotels for a trip but planned nothing else. She asked the Bot to check Gmail and Drive for the booking details and plan the rest around them: activities, restaurants, whether she needs a rental car, a day-by-day itinerary saved in Drive, and the important plans added to her calendar. Anything that needs booking has to be confirmed with her first. While it worked on its cloud computer she could watch it browse and compare, and jump in to change things, like 'keep activities under $100 per person' or 'only show vegetarian restaurants'. Afterwards she told it to remember her preferences (vegetarian, relaxed itineraries), so she doesn't repeat them. She suggests saving the workflow as a skill for future trips, and a routine that checks bookings, calendar and itinerary before a trip and reminds her if something is missing.

Who it's for: Anyone with a trip coming up who's booked the big things but not planned the days.

Before you start

How to try it

  1. Make a Bot for travel and connect Gmail, Drive and Calendar.
  2. Send the prompt below with your destination and dates.
  3. Watch or check in while it works, and add limits as you go (budget per activity, dietary needs, pace).
  4. Review the itinerary in Drive and the calendar entries. Approve or decline any booking it asks about.
  5. Tell it to remember your preferences, then ask it to save the process as a skill for next time.

What to expect

A day-by-day itinerary doc in Drive built around your actual flight and check-in times, key plans on your calendar, and questions in chat before anything is booked.

Ramble by voice, have it restate, then align before big jobs

Talk instead of typing, ask the Bot to repeat back what it understood, and for big jobs have it ask numbered questions with recommendations before it starts.

How this helps you Your Bot starts big jobs with the right brief, so you redo less work and waste less usage.

Organise your Bots: sections, pins, names and colours

Group Bots into sidebar sections, pin the ones you use most, give them short clear names and let your main Bot recolour them by area.

How this helps you You find the right Bot in a second and can see what each one does just from its name and colour.

Hand off a recurring report and test it on a week you already know

Give your Bot past input files and the rules in your head, have it build the repeatable parts, then test it on an old week where you know the right answer.

How this helps you You find out whether your Bot can really take a recurring report off your plate, using a test with a known right answer.
